Overview

ShareStream’s integration with Zoom enables organizations to automatically upload Zoom cloud recordings to ShareStream, where the recordings are centrally stored, managed, and made available for on-demand playback. 

 

Prerequisites

To install ShareStream’s app Zoom, the organization (e.g., the academic institution, school, or corporation) with which you are affiliated must be an existing ShareStream client. If you are new to ShareStream and not affiliated with an organization that has an active ShareStream license, contact ShareStream to get started.

To install ShareStream’s app from Zoom’s App Marketplace:

  1. Click Visit Site to Install on the page for ShareStream’s app in the marketplace.

  2. In the “Site Address” field, enter the URL of your organization’s ShareStream site and click Next.

  3. If the ShareStream site is integrated with your organization’s single sign-on (SSO) solution, your organization’s SSO page will load.

  4. Sign in from the SSO page.

  5. Once you have signed in, the Zoom authorization screen will load, from which you can either authorize ShareStream to access your Zoom account, or deny access.  

  6. If you select Authorize, you will be signed in to your organization’s ShareStream environment, and the message below will appear confirming that ShareStream is now connected with your Zoom account.

  7. Once the message above appears, installation of ShareStream’s app for Zoom is complete and you can begin using ShareStream’s integration with Zoom.


Installing ShareStream’s App for from ShareStream’s Pick-n-Play Application 

To install ShareStream’s app from Pick-n-Play:

  1. Click on Scheduler.

  3. From the “Schedule An Event” screen, select Connect Zoom Account.

  4. The Zoom authorization screen will load, from which you can either authorize ShareStream to access your Zoom account, or deny access.

  5. If you select Authorize, the popup window below will appear. To begin using ShareStream's integration with Zoom, close the popup window and refresh your browser.

Creating a Meeting from ShareStream

To create a new Zoom meeting:

  1. Click on the Scheduler button in ShareStream’s Pick-n-Play application.

  2. Click Schedule An Event.

  3. From the “Schedule An Event” screen:

    1. enter a Title (Note: a Title is required in order to select Save)
    2. enter a Description
    3. select the Destination in ShareStream where a Zoom cloud recording will be published after it concludes
    4. modify the date, time, and time zone as needed
    5. select Save.
Note: ShareStream also integrates with Zoom’s LTI Pro App. ShareStream’s LTI Pro integration must be enabled by your organization’s Zoom administrator. When this integration is configured, Zoom meetings created using LTI Pro are automatically published to the desired course folder in ShareStream (just as they are when Zoom meetings are created using ShareStream).  




Starting a Meeting from ShareStream

To start a Zoom meeting created from ShareStream: 

  1. Click on the Scheduler button in ShareStream’s Pick-n-Play application.

  2. Select the Start Event button for the Zoom meeting that you would like to begin.

  3. Provided you are signed in to Zoom, the Zoom meeting will start.

  4. Select the Record button in the lower right-hand corner of Zoom, and then the Record to the Cloud option from the menu. When you are finished with the meeting, select End Meeting For All.

The Zoom recording will automatically upload to the destination folder in ShareStream that you selected when you created the meeting.


Note: In addition to the meeting recording, ShareStream’s Zoom integration automatically sends a Zoom meeting’s transcript and chat file to ShareStream.

  

To share a link to a Zoom meeting created from ShareStream:

  1. Click on the Scheduler button in ShareStream’s Pick-n-Play application.

  2. Select the Copy Event Link button for the Zoom meeting that  you would like to share, which will copy the meeting link to your clipboard.

  3. Alternatively, you can copy a link to a Zoom meeting by:
    1. clicking on the listing for the meeting
    2. clicking the Copy button on the “Schedule An Event” screen.

Modifying a Zoom Meeting from ShareStream

To modify a Zoom meeting created from ShareStream:

  1. Click on the Scheduler button in ShareStream’s Pick-n-Play application.

  2. Click on the listing for the meeting that you would like to modify.

  3. Change the Zoom meeting as needed, and then select Save.

 

Deleting a Zoom Meeting from ShareStream

To delete a Zoom meeting created from ShareStream:

  1. Click on the Scheduler button in ShareStream’s Pick-n-Play application.

  2. Select the Delete Event button for the Zoom meeting that you would like to delete.

  3. Select Delete to confirm that you would like to delete the meeting.

Uninstallation

To uninstall ShareStream’s app for Zoom: 

  1. Navigate to https://marketplace.zoom.us/..


  2. Click Manage in the upper right-hand corner of the screen.

  3. Click Installed Apps in the left-hand navigation, under “My Dashboard”.

  4. In the list item for ShareStream’s Zoom App, click Uninstall.
